The problem

Your admin grew around the work. Nobody designed it.

That is normal. Small businesses build processes while serving customers, fixing problems and keeping everything moving. Eventually, the work still gets done — but only through chasing, checking and remembering.

01
The truth is scattered

Email says one thing, the spreadsheet says another and somebody has the actual answer in WhatsApp.

02
Ownership is implied

Everyone knows somebody should do the next step. Nobody can immediately say who.

03
The same details get copied repeatedly

Names, dates and notes are retyped between forms, documents, inboxes and systems.

04
Customers chase for visibility

They are not necessarily unhappy with the work. They simply cannot see what is happening next.

05
One person holds the whole thing together

The process works because somebody notices everything. That is effort, not resilience.

What you receive

A clear diagnosis, with practical next steps.

Your diagnostic is built around the evidence you provide and one clearly defined process, with enough detail to understand the problem and enough clarity to begin fixing it.

01

Current process

A clear reconstruction of what actually happens now, including unofficial steps and workarounds.

02

Friction and failure points

Where work waits, information disappears, customers chase or staff repeat themselves.

03

Risks and dependencies

What relies too heavily on memory, one person, unclear ownership or scattered information.

04

Future workflow

A simpler sequence with clearer stages, decisions, owners and completion rules.

05

Automation opportunities

What is worth automating now, later, keeping manual or removing completely.

06

First five actions

A prioritised starting point so the report does not become another ignored document.

What it actually looks like

A proper client deliverable you can use.

The final PDF typically runs to around 10–15 pages, depending on the process and the evidence supplied.

  • Plain-English diagnosis of the central problem
  • Visual current-state and recommended workflows
  • Risk and dependency summary
  • Action plan ordered by priority

The initial suitability review confirms whether your process can be assessed meaningfully before you are asked to pay.

Behind Admin Untangled

I genuinely like working out why a process has become harder than it needs to be.

I’m Louise Orire-Smith, founder of Admin Untangled. I specialise in looking at messy operational processes — the inboxes, spreadsheets, repeated steps and “we just know how it works” systems that keep small businesses moving — and turning them into something clearer and more reliable.

My approach is practical rather than theoretical. I reconstruct what is happening, find the structural problem underneath the visible symptoms, and explain what should change in a way that can actually be acted on.

Check suitability

I will not take your money for the wrong job.

The first step is a free written suitability check. If the process is too broad, requires specialist advice, or cannot be assessed properly from the evidence available, I will tell you before asking for payment.

The diagnostic does not include: calls, direct system access, legal or financial advice, cybersecurity certification, software repairs or implementation.

Frequently asked

Things you are probably wondering.

Is this an AI-generated report?

No. AI may be used as a working tool, but the service you are buying is human analysis: reconstructing the process, separating symptoms from causes and designing realistic changes around the evidence you provide.

What counts as one process?

One journey with a clear start and finish, such as enquiry to booked job, customer onboarding, order to dispatch, invoice to payment, or a recurring internal admin process.

Do I need formal documentation?

No. Rough notes, screenshots, sample emails and existing trackers often reveal more than a polished procedure document.

Will you build the new system?

Not as part of this diagnostic. The report explains what should change and in what order. Separate implementation work may be considered only where appropriate.

How should I handle confidential information?

Remove or anonymise personal, financial, medical and other sensitive data before sending evidence. Never send passwords or live system access.
